1. Who we are

MotorIQ (“MotorIQ”, “we”, “us”, “our”) is a cloud-based vehicle management and invoicing platform for vehicle dealerships in India. MotorIQ is operated by its founders, Muhammed Umar Shaikh and Anas Shaikh, based in Pune, Maharashtra, India.

This Privacy Policy explains what personal data we collect, how we use it, and the rights you have. We process personal data in line with the Digital Personal Data Protection Act, 2023 (“DPDP Act”) and the Information Technology Act, 2000 and its rules, as applicable.

2. Our two roles

It is important to understand the capacity in which we hold data, because your rights differ in each case:

  • As a Data Fiduciary — for the account and contact details of the dealership and its staff who sign up and use MotorIQ. We decide how this data is used and are responsible for it.
  • As a Data Processor — for the business records you enter into MotorIQ about your own customers (for example buyer names, phone numbers, KYC documents and transaction details). Here you are the Data Fiduciary and we process this data only on your instructions to provide the service. See section 6.

3. Information we collect

We collect the following categories of personal data:

  • Account & contact information — name, email address, WhatsApp / mobile number, dealership name and city, provided when you request a demo or create an account.
  • Business data you enter — vehicle records, sales, expenses, CRM leads, and customer details you choose to store in the platform to run your dealership.
  • Billing information — subscription plan, invoices and payment records. Card and bank details are handled by our payment provider; we do not store full payment instrument details on our servers.
  • Technical & usage data — log data such as IP address, device and browser type, and basic usage activity needed to operate and secure the platform.

4. How we use your data

We use personal data only for the following purposes:

  • To provide, maintain, secure and improve the MotorIQ platform.
  • To create and manage your account and authenticate your logins.
  • To process subscriptions, generate invoices and collect payments.
  • To respond to demo requests, support queries and service communications.
  • To send product updates and important notices about your account.
  • To comply with our legal, tax and regulatory obligations.

We do not sell your personal data, and we do not use it for third-party advertising.

5. Legal basis for processing

We process your personal data on the basis of: the consent you provide when you sign up or submit your details; the performance of our contract with you to deliver the service; and compliance with applicable legal obligations (such as retaining tax records). You may withdraw consent at any time, though this may limit your ability to use the platform.

6. Data you enter about your customers

When you enter information about your own customers into MotorIQ, you remain the Data Fiduciary for that data and are responsible for having a lawful basis (such as notice and consent) to collect it. We act only as your Data Processor: we store and process that data on your behalf, strictly to provide the service, and we do not use it for our own purposes. On request, we can enter into a separate Data Processing Addendum (DPA) with you.

7. Sharing and sub-processors

We do not sell or rent personal data. We share data only with trusted service providers who help us run the platform, under appropriate confidentiality and data-protection obligations. These currently include:

  • Cloud hosting and database providers (application and database infrastructure).
  • Object storage providers (vehicle photos and documents such as RC, insurance and PUC files).
  • Email delivery providers (transactional and password-reset emails).
  • A payment provider (subscription billing and invoicing).
  • Optional AI services used to generate vehicle summaries, where you enable that feature.

We may also disclose data where required by law, court order, or a valid request from a government authority.

8. Where your data is stored

Our application servers and uploaded files (such as vehicle photos and documents) are hosted on infrastructure provided by Hetzner, located in Finland, within the European Union. Our database is hosted on managed database infrastructure (Supabase). This means some of your personal data is stored on servers located outside India.

The DPDP Act permits the transfer of personal data outside India to permitted jurisdictions. Where your data is stored or processed outside India, we take reasonable steps to ensure it remains protected in accordance with this policy and applicable law.

9. Data retention

We retain your business and financial records for as long as your account is active. After account closure, we may retain certain records for up to 7 years where required to comply with Indian tax and accounting law, after which they are securely deleted or anonymised. You can request earlier deletion of data that we are not legally required to keep.

10. How we protect your data

We apply reasonable security practices to protect your data, including encrypted connections (HTTPS), access controls, token-based authentication, tenant isolation so each dealership’s data is kept separate, and restricted administrative access. No system can be guaranteed perfectly secure, but we work to protect your data and will notify affected users and authorities of a personal data breach as required by law.

11. Your rights

Subject to applicable law, you have the right to:

  • Access the personal data we hold about you and request a copy or export.
  • Correct inaccurate or incomplete data.
  • Request deletion of your account and associated data.
  • Withdraw consent and nominate another person to exercise your rights in case of incapacity or death.
  • Raise a grievance about how your data is handled (see section 14).

12. Cookies

We use minimal cookies — only what is necessary to keep you logged in and to understand basic traffic patterns. We do not use advertising trackers. For details, see our Cookie Policy.

13. Children

MotorIQ is a business tool intended for use by dealerships and their staff. It is not directed at children, and we do not knowingly collect personal data from anyone under 18.

15. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you. Your continued use of MotorIQ after an update means you accept the revised policy.
